The common reasons behind the missing Amazon settlements

Are you missing Amazon settlements from A2X?

There are two main reasons why A2X may not be able to import all of your settlement file data from Amazon's API: they are archived or in the old file format type.

Watch the video below or read on to learn more.

Archived reports

For some sellers, Amazon will archive the settlement reports after a specified number of weeks or months. As strange as this sounds, once archived, A2X is unable to import the data via Amazon's API. You first need to manually 'un-archive' the reports in Amazon Seller Central, before A2X can access the data.

These are steps for checking the reports and fixing the issue.

1. Go to Amazon Seller Central > Reports > Payments > All Statements

*Note: If you have both "Standard Orders" and "Invoiced Orders", please follow the same steps outlined below for both

2. Look for a button labeled 'Request Report' (see example below).

3. If you see this button, then that settlement is archived. The way to un-archive the report is to click the 'Request Report' button. The request process can take anywhere from a few minutes to a few hours. Once available, you should see a Download button beside that settlement. This indicates the settlement has been un-archived and is available for download by A2X.

Once your settlement reports are available and not archived, you can go to A2X Settings > History and request your settlement history. A2X will then look back in your previous accounting periods for any settlements that were missed the first time due to being archived.

Old settlement report format (V1)

Amazon has two formats for the settlement file, an older V1 and a newer V2 format. A2X. You can check which format your Amazon account has, as the older V1 format may not be imported to A2X if your A2X account is using the new V2 format.

Please Note: Amazon has announced the following - ”Flat File“ (V1) and ”XML“ formats will not be supported starting from March 31, 2022. If you already use ”Flat File v2“, no additional action is required.

Below are steps for checking the format, and requesting Amazon to upgrade your format.

1. Go to Amazon Seller Central > Reports > Payments > All Statements

2. Look for a button labeled "Download flat file V2" or "Download flat file". If your buttons say "V2" flat file, then you have the new version, if they do not, you have the older V1 format. See the screenshot below that shows both buttons.

3. If the missing settlements are in the old format, you will need to request Amazon to upgrade those reports (and at the same time they can upgrade your account to use the new format going forward). To learn more about the format, and how to ask Amazon to change, please see the guide that explains the V1 and V2 format HERE.

Once your settlement reports are available in V2 format, you can go to A2X Settings > History and request your settlement history. A2X will then look back in your previous accounting periods for any settlements that were missed the first time due to the format.

Please Note: This reason for missing settlements is less often an issue as A2X can convert V1 settlements now.

You have checked the format/archive and you are still missing settlements in A2X

If you have checked that the format/archive, and you have requested A2X history (in A2X settings > History), and after a few hours the missing settlements have still not been imported, then there could be a problem with A2X importing the settlements. Our support team is available to assist you.

Here's the information the support team will need in order to investigate:

1. Screenshots of the settlement screen in Amazon Seller Central, showing the missing settlement is both in the correct format and not archived.

Please take a screenshot and send it to our support (contact@a2xaccounting.com) and our team will be able to assist you.
