Settlement labels: Settlements, COGS, Marketplace and errors

A2X certainly makes Amazon accounting simpler but like anything new it can take a while to master and know all the ins and outs. One such thing is the status columns located beside your settlements and COGS totals. 

Each settlement pulled through from your sales channel is shown in historical order on your home page. Here is an example of what you might see beside your settlement: 

Settlements/Payouts status indicators

This settlements status icons attributable to each line of the journal (QuickBooks Online) or invoice/Bill (Xero) on the corresponding settlement. 

Orange "Not Complete" status:

This indicates that there are accounts or tax rates missing from at least one line item within the settlement. Once each line has a tax rate applied the indicator will turn blue as "Ready to post". 


Orange "On Hold" status:

If a settlement requires additional information to complete, such as country, currency or tax data - then A2X will detect if this data is missing and place the settlement on hold.

An on hold settlement will not post automatically to your accounting system, and when you review it you will see more information about the hold:

You can refresh the settlement yourself to check if the data is now available.

When the required information becomes available the settlement will be updated and no longer held.


Blue "Ready to Post" status:

If a settlement is fully mapped, and are no longer "on hold", the status will show as "ready to post".


Green "Posted" status:

If a settlement is already posted to the accounting system, the status will show as "posted".


COGS status indicators

Orange "Not Complete" status:

This indicates that there are costs missing and cannot calculate the total COGS for this settlement period.

Action Required
Head over to the cost page and either enter the costs directly or upload a CSV file with the correct costing.


Blue "Ready to Post" status:

If all SKUs have costs attributed, then the COGS entry is ready to post.


Green "Posted" status:

If a COGS entry is already posted to the accounting system, the status will show as "posted".


Grey "None" status:

If a payout or settlement does not include and sales or refund transactions, a corresponding COGS entry will not be generated. For example, if a payout containing only a subscription fee is generated, we will not have a COGS entry for this payout.

The COGS status will be indicated as "none".


Marketplace status indicator

Orange "Marketplace" status:

When a settlement contains sales information A2X can easily identify the marketplace, as Amazon provides the correct marketplace information. 

However, when a settlement doesn’t contain sales data, no marketplace information is sent and therefore A2X must make a best guesstimate. 

It is rare and generally involves low $ amounts. The amounts are correct, it is only the marketplace that is incorrect. The question you may want to ask yourself is – Is this material? If not - you may decide no action is required! 

If you believe that the marketplace is incorrect, please use the "Change Marketplace" feature by clicking into the settlement.

Posting error indicators

If an error occurred while posting an entry to the accounting system, an icon will show in the actions column. Hover over the icon to learn more.
