Using the Order ID page in A2X for Shopify

Easily explore order details and gain valuable insights into your Shopify and A2X data

The order ID page is part of our Shopify Reconciliation Tool and is designed to pinpoint variances between your Shopify data and A2X data. This tool identifies the specific orders causing the variances and provides possible reasons for them.

In this article, we’ll take a closer look at the Order ID page—how to use it, and how Shopify data and transactions are reflected in A2X.

Every order in Shopify is assigned an Order number and an Order ID.

While Shopify notes that order numbers can be duplicated in rare cases, the order ID is always unique. For this reason, it’s best to use the order ID to identify orders reliably in Shopify/A2X or any other platform.


Accessing the Order ID page in A2X

Method 1

If you already have the Order ID from Shopify, and you wish to review how it was captured in A2X, you can go to Reports > Reconciliation Reports and add your Order ID into the search box, as shown. This will direct you to the Order ID page for that order in A2X.

Method 2

If you are using the A2X for Shopify Reconciliation Report, any orders with variances detected will be displayed for your review. You can click any of the Order ID's listed to access the Order ID page.

In the example below, we've compared Gross Sales in Oct 2024, and the Reconciliation Tool displayed one order causing a variance.


Order ID page sections and buttons/links

When you land on any Order ID page, on the top right side, you will see two buttons:

  • Dev Tools: Provides access to order timeline events

  • View order on Shopify: takes you to this order on Shopify

The page is split into two sections.

The first section shows the real-time, live Shopify order data.

The second section illustrates how the order data was recorded in A2X.

Real-time (live) Shopify Order data

In this section you will see three parts displaying the Shopify Order Summary, Transactions, and Shopify Order Detail of the order you are reviewing. This represents the most current Shopify view of the order.

As an example:

  1. Shopify Order Summary: This section provides a high-level overview of the order. In our example, it indicates that the order, totalling $400.00, has been fulfilled.

  2. Transactions: This section details all payment transactions, including any failed attempts. In our example, there were four (4) failed attempts to process the payment through the Shopify Payments gateway, followed by two (2) successful transactions processed via the PayPal payment gateway.

  3. Shopify Order Detail: This section outlines the products sold in the order, including their SKU, quantity, and price. In our example, it lists two products - one priced at $230.00 and the other at $400.00.

In the above screenshot you can see that one product was removed, and another was fulfilled. To gain a clearer understanding of the events in this (or any) order, it’s essential to review its timeline. The timeline serves as the primary source of information, offering the most detailed overview of all actions related to the order, from the moment it was placed, created, or imported.

The Shopify Order Timeline in our example shows:

  • October 09: Four (4) failed attempts to process the payment via CC (Shopify Payments), and the successful payment of $230.00 via PayPal.

  • October 11: The order was edited, PRODUCT 2 ($230) was removed and PRODUCT 1 ($400) was added. The payment of $170 was processed via PayPal, covering the difference in price between removed/added products.

NOTE
Shopify allows for orders to be edited for anywhere up to 60 days after the order was completed. A2X detects these order edits and creates special payouts to reflect the edited amounts.


How is the order data recorded in A2X?
This brings us to the second part of the order ID page, which shows how any order data was recorded in A2X. It will list all payouts in which this order was captured and each of the payouts can be expanded to see the details.

In our example, we can see that A2X has captured the data for this order in three payouts, which is what we expected after reviewing the order timeline in Shopify.

  • PayPal payout Oct 09, 2024
    captured the initial sales, where PRODUCT 2 was purchased and $230.00 was processed via PayPal.

  • Order Edits payout Oct 11, 2024
    captured the order edit, where PRODUCT 2 ($230) was removed and PRODUCT 1 ($400) was added, and the -$170.00 pending payment line.

  • PayPal payout Oct 11, 2024
    captured the payment of $170.00 processed on PayPal (Sale Gateway Paypal - Online Store) and added a transaction line to offset the pending balance account (+$170.00).

If we click on the blue links (showing the date range of the payout), they will take us to the actual payout in A2X. As an example, here is the Order Edits payout from Oct 11, 2024.

We can also export the order data from all listed payouts into CSV by clicking the 'Export CSV' button in the top right corner.

Navigating Shopify Orders with confidence
The Order ID page is a powerful feature within the A2X for Shopify Reconciliation Tool, offering a detailed view of individual orders across both Shopify and A2X. Whether you're investigating variances or simply reviewing order activity, this page brings clarity by showing real-time Shopify data alongside how that data is reflected in A2X.
