Set up your Product Catalog

Create one central catalog of SKUs, aliases, and costs for all the A2X accounts in your organization, and optionally use it to calculate COGS.

Written by Mariko Newman

Summary

The Product Catalog is a central place to manage your products and their costs across all the A2X accounts in one organization, so you maintain them once instead of per account. You can use it for cost of goods sold (COGS) calculation, for A2X Clarity reporting, or both. This article walks through turning on the catalog and uploading your file, then covers what to switch on if you want it to drive COGS.

Before you start

  • All the accounts you want to include sit under a single organization.

  • Your costs use a single currency. If your accounts hold costs in different currencies, pick one for the catalog going forward.

  • The Product Catalog isn't supported for NetSuite organizations.

Step 1: Turn on the Product Catalog

  1. Go to Organization Settings.

  2. Turn on the Product Catalog inside the Beta features

  3. Enable the settings inside Product Catalog.

  4. Tick Use for cost calculation so A2X uses your catalog costs to calculate COGS.

Note: The separate "Use for cost calculation" checkbox is for if you want A2X to use your catalog costs to calculate COGS. If you leave it unticked, the catalog will still hold your SKU, alias, and attribute data (useful if you're only using it for A2X Clarity reporting), but it won't drive COGS.

Step 2: Prepare your catalog file

Your catalog can be a CSV file you upload directly, or a Google Sheet / Dropbox link that syncs automatically. Here's how to choose:

CSV upload

Google Sheet / Dropbox link

Best for

One-off setup, infrequent updates, tighter control over when changes apply

Teams who update costs often, or want changes to flow through automatically

Updating

Manual re-upload each time via Re-upload

Sync now on demand, or automatic daily sync at 03:45 UTC

Who maintains it

Whoever manages the file

Multiple people can maintain the same live sheet

For the full breakdown of what goes in the file - items, aliases, kits, and assemblies - see [Templates, kits, and aliases explained].

3. Upload your catalog

Click Setup Product Catalog, then:

  1. Select the currency for your catalog. If all your existing account costs already share one currency, it'll be preselected; you can still change it.

  2. Choose your upload method, either upload a CSV file and browse to your file, or connect a Google Sheet or Dropbox link and paste the URL.

  3. If you’re uploading a CSV, choose an Apply from date. It defaults to today. Pick an earlier data if these costs should apply to past periods. See How cost changes apply over time for more information.

  4. Click Upload now.

Review the results: how many items were imported, and any rows A2X couldn't process.

4. Check your Cost coverage

Your catalog page shows import history and cost coverage status, so you can see which SKUs still need a cost. Download the missing SKU list to work through the gaps.

Cost coverage reflects SKUs that have appeared in your settlements. A SKU that's active in your marketplace but hasn't shown up in an A2X settlement yet won't be listed. To build a complete catalog upfront, pull your SKU list directly from your marketplace or inventory system.

5. Enable COGS on your accounts

Enabling the catalog doesn't switch COGS on by itself. These are separate settings, and COGS is set per account, but you can now manage all of it from one place.

  1. Confirm Use for cost calculation is ticked in Organization Settings

  2. Scroll down to Account COGS settings on the same page. This lists each connected account to the organization, so you can review and manage its COGS configuration without leaving the Product Catalog settings.

  3. For each account you want COGS applied to, select Enable, then map your Expense account and Asset account so there’s somewhere for the COGS entries to post to.

  4. Click Save settings for that account.

Step 6: Refresh your settlements

After uploading or updating your costs, refresh the settlement(s) in your A2X account. Costs aren’t applied to a settlement until it’s refreshed. When you refresh, A2X uses the costs that were in effect for that settlement’s period, not necessarily your latest upload. If you’ve updated your costs but don’t see COGS reflecting the change, check that the update applies to the right period. See How cost changes apply over time for more information.

Keep an eye on your catalog

Once you're set up, there are a few places to check in on your catalog's health:

  • Import history: review previous uploads, their effective dates, and which catalog is currently active.

  • Cost coverage: see how many of your SKUs have a cost on file.

  • Missing SKUs: download a list of sold SKUs across all your sales channels that don't yet have a cost.

Troubleshooting

No COGS is appearing on my settlements

Four things need to be in place for COGS to calculate. Check each one:

  • Use for cost calculation is ticked in Organization Settings.

  • COGS is enabled on that specific account.

  • Your COGS accounts are mapped (Expense and Asset) in that account.

  • You’ve refreshed your settlements since uploading.

Enabling COGS per account and mapping the accounts are the two most commonly missed.

A cost isn’t applying to one SKU
Why: The SKU in your file doesn’t exactly match the SKU in your settlement.
Fix: Compare the two, correct your file, re-upload, and refresh the settlement.

A SKU containing a backslash isn’t matching
Why: Backslashes in SKUs can’t be matched directly.
Fix: Set it up as an alias pointing to a cleaned-up version of the SKU. The alias inherits its cost from the master item.

I added a cost, but an older settlement still shows it as missing
Why: Each settlement uses the catalog that was in effect for its period, so a cost added in a newer upload won’t apply to it.
Fix: Open that catalog from your History and use Add costs, or upload a CSV with an earlier Apply from date. Then refresh the settlement.

Some cells came back blank in my pre-filled catalog
Why: Your accounts hold different values for that SKU.
Fix: The differing per-account values are listed alongside for reference. Choose which one to keep.

Nothing pre-filled at all
Why: Your accounts’ existing costs use different currencies, and a catalog uses one currency.
Fix: Pick one currency and enter your costs in it.

Still stuck? Our support team is happy to dig into it with you.

Coming soon

  • Multiple currencies in one catalog. Every cost in a catalog uses the same currency.

You can update your costs as often as you like. Each settlement uses the costs that were in effect for its period, so your historical COGS stays accurate.
