Streamlining cost management with Shopify sync

If you're using the A2X COGS feature, keeping your costs up to date within A2X can be time-consuming. Each time a cost is added, deleted, or changed, it is best practice to update the changes in A2X to ensure the cost entry to your accounting system is as accurate as possible.

If you're using Shopify to track your costs, you can now save time by syncing costs directly into A2X!

Follow these easy steps to enable the Shopify costs sync.


Step 1: Cost setup within A2X:

  1. Click 'Cost' in the main navigation

  2. Select the 'Shopify' tab

  3. Click the 'Sync with Shopify' button.

  4. A modal will appear asking you to confirm the costs currency.

Step 2: Sync with Shopify's cost data

  1. Click the 'Sync A2X with Shopify' button to connect A2X with your Shopify account.

  2. A2X will now automatically pull SKU and cost data from Shopify.

Step 3: Managing Costs

  1. A2X will sync your cost data daily at 1 am UTC.

  2. Any changes made in Shopify will be reflected in A2X’s Shopify Costs table and the Cost History table.

Step 4: Manual Sync

To sync your costs immediately, you can:

  1. Click the "Import Now" button in A2X.

  2. This will fetch the latest cost data from Shopify.


Pro Tip: Temporarily Override Costs from Shopify

Use this temporary override feature to override the costs from the Shopify integration by uploading a csv file with the correct SKU and cost per SKU.


Pro Tip: Handling "Not Complete" Status

If you initiate a sync with Shopify but notice a "not complete" status in A2X, don’t worry—this can happen if A2X had already attempted to calculate the COGS summaries before the sync was complete.

Steps to Resolve:

  1. Refresh Payout or Settlement: On the Settlements page, start by selecting the payouts of settlements you would like to refresh, then click 'refresh'. This action will re-calculate the summary based on the most recent cost data.

  2. Check Source Data: If the "not complete" status persists after refreshing, it means a cost or the SKU for the listing is likely missing from the source data (Shopify).

  3. Verify Shopify Data: Ensure that all costs are correctly entered and up to date in Shopify. Once all costs are present, manually sync the data, then refresh your payouts again.

Missing SKU: If the SKU was missing at the time of the sale, historical transactions cannot be recalculated with a cost for those "No SKU" transactions. However, all transactions after the SKU is correctly assigned will calculate the costs accurately going forward.

Duplicate SKUs: Users can assign the same SKU to multiple listings. A2X will select one cost from the matching SKUs, not an average cost across the multiple cost fields. To ensure accurate calculations, verify the correct cost is entered for each listing in Shopify.

  • If you encounter any issues during the sync process, ensure you have entered the correct account details.

By following these simple steps, you can keep your costs updated seamlessly, saving time and ensuring accuracy in your accounting system.
