How to test sending an invoice to Xero or QuickBooks Online, and then reconcile the transaction in the accounting system

Once you have connected your ecommerce channel, accounting software, and mapped your accounts and taxes, you're ready to post your first settlement/payout to your accounting software. When the settlement/payout has been posted, it can be reconciled against the despoit in the banking feed of your accounting software.

Settlements from sales channels appear in your A2X account on the Home or Settlements tab.

Post your first payout by clicking 'send' here

Or, before posting the summary, you have the option to review it first. To review a settlement before posting, click 'Review'.

Then click on the down arrow to show invoice details

Review your accounts and tax rates and then send them to your accounting:

How do I find the A2X entry?

In QuickBooks Online, the transaction shows up as a journal entry in the Bank Register, where it can then be reconciled against the deposit.

In Xero, the transaction shows up as a Draft Invoice, or a Draft Bill if it is negative, where it can be approved and then matched to the Amazon deposit.

In Sage, the transaction shows up as a Sales invoice, or a Purchase Invoice if it is negative, where it can be be reconciled against the deposit.

How do I reconcile?

Quickbooks Online

One of the easiest ways to find the journal straight after posting it is to click the magnifying glass at the top right of the page in QuickBooks Online, and display a drop-down showing your recent transactions:

To reconcile the journal entry to the deposit in your bank account, simply click on the 'match'.

Xero

Find your A2X entry in the Draft invoices and approve the invoice.

When you go to reconcile your bank feed, you should see the deposit from the sales channel, and Xero auto-suggesting a match to the Invoice you just approved. Click “OK” to reconcile.
