[A2X Partners] A2X Simplified Billing

A2X has upgraded its billing system to Stripe. This article provides instructions on how to migrate your A2X subscription(s) to A2X Simplified Billing.

A2X has upgraded its billing system to Stripe, a platform renowned for secure and efficient direct payments.

With A2X Simplified Billing, you’ll be able to bring your multiple A2X subscriptions into one consolidated monthly invoice. The new process means that you'll have just one payment per month covering all of your A2X subscriptions.

Before you start, you’ll need:

  1. A credit card or debit card for billing

  2. User access to the A2X accounts with subscriptions that you would like to migrate

Important note: You don’t need to be the current billing owner or account admin to move a subscription to A2X Simplified Billing; you only need to have user access to the account. By following the steps below, A2X will show you a list of subscriptions that are eligible for migration to A2X Simplified Billing, based on your existing account access, and you'll be able to select which subscriptions to migrate.

Once you’ve migrated to A2X Simplified Billing, all future subscriptions can be added to your single monthly invoice.

Follow the steps below to migrate your subscription(s).

1. Log into A2X and begin your migration

Billing Owner - The email address you enter when logging into A2X will be the "billing owner" of the subscription(s) you choose to migrate to A2X Simplified Billing.

If a warning banner appears, click on 'here' within the message then click here to get started to reload your billing migration.

2. Complete your Payment Information

On the 'Payment information' page, enter your card and billing details.

Billing email address - The email address entered on this page will be your "billing email address" and is where your monthly invoice and other billing notifications will be sent. You can enter any email address.

Stripe billing has very strict security standards, which means some cards may be declined. If you receive an error or experience any issues, please contact us at partners@a2xaccounting.com or via the chat icon in A2X.

Click ‘Save and continue’ to proceed.

Partner Discount - If you have at least 5 unique clients connected to A2X, you may be eligible for a partner discount. Please contact us at partners@a2xaccounting.com to apply your partner discount, if applicable.

2. Review your subscriptions

On the 'My subscriptions' page, you'll see a list of accounts you can access as a user AND the subscription billing email address is the same as the email address you’re currently logged into A2X with.

Review the subscription(s) listed.

Important note: If there's a subscription displayed here that you do not wish to pay using the card entered, please contact us at partners@a2xaccounting.com or via the chat icon in A2X for assistance.

Multi-plan accounts

If you have accounts that are on a multi-plan, meaning one subscription covers multiple accounts, only the ‘parent account’ will be displayed in your list.

The parent account is the account 'holding' the subscription. The sub-accounts are the accounts linked to the same subscription. Although you’ll only see the parent account in your list, all of the sub-accounts linked will also migrate over.

Validation errors

Some situations may prevent your subscription(s) from being migrated, such as if a plan upgrade is pending. If you see an error noted here, you can hover over the account to get an explanation of the error. Depending on the error, you may be able to proceed with your migration.

Click 'Confirm and continue' to proceed.

3. Select Subscriptions paid by others

On this page, you'll see a list of accounts you can access as a user BUT the subscription billing email address is different from the email address you’re currently logged into A2X with. This page gives you the option to add these subscriptions to your monthly invoice.

  • Tick the checkbox for any subscriptions you would like to add to your monthly bill. Be sure to leave the checkbox unticked for any subscriptions you want to exclude from your bill; for example, if your client pays for the subscription directly. Once done, click 'Add to my billing’.

    Note: If a subscription is selected from this list, the original billing email address (noted on this page) will receive a notification via email explaining that the payment information has been changed. You will also receive a copy of this email.

  • If there are no other subscriptions to add, click ‘Skip this step’.

4. Review Summary and Finish

You’ll then see a summary of the subscriptions being migrated to one monthly invoice in the new billing system.

Review your summary and click ‘Confirm and finish’.

Next, you’ll see a pop-up explaining that your migration is now in progress. This could take up to several minutes to finalize. You can click Return to dashboard to be redirected to your home page.

Your new Billing and Subscriptions pages are accessible under your user icon. The Subscriptions page will be available once your migration is fully complete.

You can view and download your monthly invoices from your Billing page.

Important Notes:

  • You will receive a $0.00 invoice which confirms the date of your migration and your new monthly billing cycle date.

  • Going forward, your subscriptions will be charged on the same billing date every month.

  • You will receive your first full monthly invoice in one month.

  • You might be charged a prorated amount at migration. The system will review the subscriptions being consolidated, including the paid-to dates, and will work out which date is most logical to be your new billing date. Due to varying billing dates, you may be charged a prorated amount to bring all subscriptions in line with your new billing date. You can download a copy of your prorated invoice to review the charge.

The billing for your migrated subscriptions will now live in this new area, rather than individually on each account as it was previously.

To subscribe a new account, go to your Subscriptions page and click Choose Plan.
