A2X for Shopify B2B - The B2B Invoice Report and Month End Procedures

This article explains how to generate, and interpret data within the B2B Invoice Report in A2X

The B2B Invoice Report is designed to track all of all synced invoices and the changes that are made to synced orders, after the they are synced to the connected accounting ledger.

To access the report:

  1. Go to the Reports tab in the main menu.

  2. Select B2B Invoice Report.

  3. Use the As of date picker to set the reporting period. This should be the last day of the month you're reconciling.
    For example: If today is 17 March 2025 and you're working on February's month-end, select 29 February 2025.

You can filter the report by:

  • All orders

  • Paid only

  • Unpaid only

The report can be exported to CSV for further analysis or reconciliation

Note: Orders synced after the selected date or payments processed after that date will not appear in the report.

Why Use This Report at Month-End?

The B2B Invoice Report is most commonly used at month-end to reconcile the asset account nominated in the B2B settings. The unpaid balance shown in the report should match the balance in your general ledger account, provided that:

  • (a) No changes (except payments) have been made to the Shopify order after it was synced.

  • (b) No changes (except payments) have been made to the accounting system invoice after syncing.

  • (c) The nominated account is used exclusively by A2X for Shopify B2B.
    If other entries have been posted to this account, reconciliation will not be possible.


What if the B2B general ledger account does not match to the B2B Invoice report total, as at month end?

If the B2B Invoice Report total does not match the balance in your accounting ledger (after converting to home currency if needed), follow these steps:

  1. Compare the list of synced orders in the report (as at the report date)

  2. Match this against the unpaid accounts receivable sub-ledger created by A2X for Shopify B2B

From there:

  • Identify any differences

  • Resolve discrepancies - Once the differences have been identified, these differences can either be resolved (by marking invoices as paid in the ledger, or adding/ deleting) or explained in the reconciliation work paper.

Why are there no totals in this report?

Because the report displays each synced order in its original currency, no subtotals or grand totals are shown by default.

To calculate totals:

  • Export the report to CSV

  • Filter by currency

  • Subtotal each group manually within your spreadsheet
